Maintain It Ltd ("we", "us") is a company registered in England and Wales, company number 06602519, with registered office at 16 Wood Close, Kingsbury, London NW9 7NR. 02What we collect
When you contact us for a quote or book a job we collect your name, phone number, email address where given, the property address or postcode, and a description of the work needed. If you send photographs of a fault, we hold those too. We also keep before-and-after photographs of work carried out, and the invoice record.
03Why we use it
We use your information to quote for work, arrange access, carry out the job, issue certificates where required, invoice you, and honour the 30-day workmanship guarantee. This is necessary to perform our contract with you. Where you are a tenant and the work is instructed by a landlord or agent, we share only what is needed to arrange access and confirm completion.
04Email, WhatsApp and phone
Quote forms on this website send your name, phone number, postcode and job details by email (via Web3Forms) so we can reply. If that send fails, the same details are offered as a pre-filled WhatsApp message so the enquiry is not lost. WhatsApp messages are processed by WhatsApp under their own privacy terms as well as ours. Call records and messages are kept on a business phone and retained alongside the job record.
05How long we keep it
Job records, invoices and certificates are kept for six years to meet HMRC and insurance requirements. Photographs relating to a job are kept for the same period. Enquiries that do not become jobs are deleted within twelve months.
08Your rights
Under UK GDPR you can ask for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, object to or restrict how we use it, and withdraw consent where consent is the basis we rely on. 09Complaints
If you are unhappy with how we have handled your data, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
